The discovery call you should never have taken

You already know the moment.

Tuesday · March 18 · 8:47 p.m.

You're on hour two with a prospect whose prior returns are missing, who has crypto income they didn't mention in the intake email, and who needs to file by Friday. You already know how this ends. They'll be billed for twelve hours and take thirty-four. They'll block specialty slots in the exact two weeks you can't replace them. And the right client, the one who would have filled those hours at the correct rate, never gets the call.

That call should have ended before it started.

The math of the wrong client

Your capacity is a finite asset. Protect it.

Tax season capacity is finite and non-renewable. The wrong client doesn't just cost you their fee. They cost you the hours you couldn't give to the right one.

Per unqualified call
1hr
Prep · call · decline follow-up. Principal time, not staff time.
50 calls, 30% refer rate
15hrs
Principal time recovered per season. Scales linearly with prospect volume.
At $300 per billable hour
$4,500
Recovered capacity per season. Minimum, before the displacement math.
Composite score range
1.0 to 10.0
Weighted ERS + Readiness. Lower is better fit. Firm-configurable thresholds.
What runs before TaxDome

Your intake link already exists.
TRIAGE is what runs before you send it.

TaxDome and Canopy assume the client is already accepted. They're built for the engagement, not the decision. TRIAGE is the layer in front. Built around a single principle: capacity is finite, and the decision to spend it deserves more than a gut check on a discovery call.

Junior staff dispatch the link. The model scores Exposure Risk and Readiness in two minutes. You see Accept, Conditional Review, or Refer. With the reasoning. Before the call.

How it works

Three steps before the discovery call.

01

Send your intake link

Paste the TRIAGE link into your TaxDome, Canopy, or email workflow. Junior staff and VAs can dispatch it, the scoring isn't dependent on their judgment. The prospect completes 11 questions on their own time.

02

Two models, one composite

Exposure Risk scores entity complexity, unfiled years, IRS/state notice history, multi-state nexus, and income sources. Readiness scores documents, deadline pressure, and prior professional history. Silent inconsistency checks catch contradictions. Both normalize to a weighted 1.0 to 10.0 composite.

03

Route the verdict

Accept, Conditional Review, or Refer, against your firm-configured thresholds, with policy overrides for foreign income or crypto. Each verdict ships with the right next action: a scheduling link, a conditional follow-up, or a referral handoff with a firm-branded message.

Digest email twice per workday at 10 a.m. and 2 p.m. Stay current without logging in.
What changes

The shape of your season.

TRIAGE doesn't make tax season easier. It makes it yours, with the clients you chose, at the rates you priced, in the hours you can actually deliver.

Without TRIAGE

The season that happens to you

  • Discovery calls double as qualification calls. You're already an hour in before you know it's a no.
  • Junior staff escalate every prospect to you. Intake decisions sit in your inbox.
  • A 34-hour client booked at 12. Specialty slots blocked in weeks 6 to 8.
  • The polite-decline email gets written at 11 p.m. on the day you should be off-deck.
With TRIAGE

The season you chose

  • Discovery calls become onboarding calls. You walk in knowing the complexity profile and the document state.
  • Junior staff dispatch intake without calling you. The scoring is the same every time.
  • 15 hours of principal time recovered. $4,500+ in capacity protected. Minimum.
  • The referred client gets a firm-branded message, the relationship survives, and so does your evening.
